Setting up Multi Factor Authentication for Outlook

  1. Open a web browser and go to https://portal.office.com.
  2. Login using your work email and password.
  3. You will get a page that says more information is required, hit next.
  4. Click the drop down and select "Authentication Phone", underneath click the corresponding bubble for a text/call
  5. Enter your phone number, selecting the country code.
  6. You will receive a text message with a One Time Passcode (OTP) – enter this on the prompt.
  7. Your phone is now verified and will be used for MFA codes moving forward. There will be a prompt with an App Password – save this for later.



Setting up Outlook PC Application For MFA

These steps only work with Outlook 2013 and newer.

  1. Close Outlook.
  2. Reopen Outlook and see if it prompts for a password in the Legacy Authentication screenshot
  3. If it doesn’t prompt for the password, then the next step is to close Outlook. Click on the Start Menu and type “Credential Manager” (Credential Manager Start Menu Search). Open Credential Manager.
  4. Click on “Windows Credentials”, and then remove all the saved Windows Credentials. To do this, you will need to click on the arrow by each credential and then “Remove”. It will prompt asking to confirm, click “Yes”. Do this for each entry.
  5. Open Outlook and see if a prompt appears. If yes, then enter the App Password generated setting up MFA.

Setting up Outlook for Mobile Devices

iPhone

  1. If using the Outlook Application, click on “Sign in” when prompted and it will text a One Time Passcode.
  2. If using the Mail app, you will need to go to the Home Screen, and then open Settings.
  3. In settings, navigate to Accounts & Passwords and find your email account.
  4. Tap on the email account and scroll to the bottom and click on Delete Account.
  5. Create new account using Exchange, and enter your email.
  6. For password, use the App Password generated when setting up MFA.
  7. It should download the emails after a short while.

Android

  1. If using the Outlook Application, click on “Sign in” when prompted and it will text a One Time Passcode.
  2. If using another Mail application, these steps differ based on the device and app used, and it’s highly recommended to use the Outlook app downloaded from the Play store.
